Paper Presentations and Lightning Talks (Guidelines)

Please find below guidelines for presentations of papers, session chairs, and lightning talks.


"Afternoon Pitch" and "Morning Pitch"

  • The Paper Session day programmes will kick off on Friday at 14:30 with the "Afternoon Pitch" and on Saturday at 9:30 with the "Morning Pitch". There, all authors are asked to be present for the announcement of the running order and give a quick introduction of the presented research topics.
  • Of course, we hope that you will attend the entire conference! If not, please make sure that you check-in at the information desk 30 minutes before the "Afternoon Pitch" / "Morning Pitch" depending on whether you will present your paper on Friday or Saturday (conference schedule).


Guidelines for Presenters of Research Papers

  • Please focus your presentation on the core ideas and results of your paper; there is not enough time to present all the interesting stuff.
  • Presentations must not take longer than 20 minutes to ensure every presenter gets the same amount of time to present his or her ideas and that there is time for questions and discussions – session chairs are instructed to enforce this rule.
  • If you will use slides during your presentation, please email them to academy-oc@wikimedia.de in PDF-format until two days before your session and/or bring them on a USB stick so we can upload them to the presentation laptop before the session – we thus ask you to arrive at least 15 minutes before the Paper Session begins. Feel free to ask the organisational staff at the registration desk to assist you.
  • We will publish the slides of all talks after the conference on the Academy website. You can send the final version of your presentation in PDF-format to: academy-oc@wikimedia.de
  • When presenting, please make sure you speak slowly and clearly. English is not everyone's first language.


Guidelines for Session Chairs

The main tasks of the session chair are to:

  • Welcome the audience and introduce the presenters.
  • Keep track of and – when necessary – enforce the schedule: 20 minutes per presentation, 5-7 minutes for discussion.
  • Moderate the discussion, collect questions and, when necessary, remind participants to keep it short and simple.
  • Please check that all presenters’ slides have been uploaded in PDF-format before the session begins – we therefore ask you to arrive at least 30 minutes before the session begins.


Guidelines for Presenters in the Lightning Talk Session

  • A lightning talk is meant to convey the core idea of your research in the most condensed form. A lightning talk must not take longer than 5 minutes.
  • If you have prepared a poster, we suggest bringing it as a visual prop for your lightning talk. Pin boards will be provided. Alternatively, you may choose to just give a talk or use slides (not more than 3). In that case, please email your slides to academy-oc@wikimedia.de in PDF-format until two days before your session and/or bring them on a USB stick so we can upload them to the presentation laptop before the session – we thus ask you to arrive at least 15 minutes before the Paper Session begins. Feel free to ask the organisational staff at the registration desk to assist you.
